Inbound calls guide:

You'll need to configure several options that will allow your customers to request help on two distinct platforms. For example, your assistant's configuration will enable a telephone response linked to a single phone number, as well as a written response provided by a chatbot accessible via a link.

Think of this configuration as training for your chatbot/phonebot. A well-executed configuration will guarantee the best responses for your bot. But don't worry, we're here to guide you through the initialization process. Read this guide to understand how to set up your bot quickly and efficiently, all in one go.

General configuration:

When implementing your company on phonebot.io, you'll first need to provide phonebot.io with information specific to your company.

  • Company Name: First, you need to give a name to your assistant. Here, it is recommended to use your company name.
  • Language: You must select a language for your business; this language will be used by the Chatbot and Phonebot to respond to your customers' requests.
  • Short Description: Please provide a short description of your company here; this description will be visible on your company page.
  • Model: This parameter allows you to choose the OpenAI model you prefer for your chatbot. By default, it is set to the gpt-3.5-turbo model. You can opt for gpt-4 or gpt-4 turbo, which provide more accurate responses but at a higher cost.
  • Information: In this section of your assistant's configuration, you need to provide all the necessary information for the bot to understand your company. Include your opening hours, different rates, and any other information that a customer might inquire about.
  • Brief: The brief complements the "Information" section and guides the assistant on how to respond and which tasks to focus on. Specify, for example, whether the assistant's goal is to take an order, schedule an appointment, or perform other tasks.

Phonebot:

The phonebot has specific features tailored for phone assistance.

  • Voice: You can choose from a wide range of voices to determine who will communicate with your customers. Note that some voices are considered "Premium" and will incur an additional cost.
  • Phone Number: Choose your phone number from a list; this allows you to select a number that corresponds to your country, for example. It may happen that phone numbers are out of stock, please send us an email, and we will keep you informed of the approximate delivery date for new numbers.

Chatbot:

The chatbot has specific features for online assistance.

  • URL: Your chatbot will be accessible through a customizable URL. This URL will be generated by default based on the company name, but you can customize it if you wish. However, we recommend keeping the automatically generated URL to avoid malfunctions of your chatbot.
  • Image: To make your chatbot welcoming and representative of your company, you can choose an image that will be directly integrated into your chatbot. For example, you can insert your logo.

Outbound calls guide:

When implementing your business on phonebot.io, you will initially need to provide specific information about your company to phonebot.io.

Call Campaign Name:

Firstly, you need to give a name to your call campaign to quickly analyze your different campaigns.

Caller Name:

Here, you will need to enter the caller's name. It is recommended to use your company name to be quickly identified by your future customers.

Phone Number:

Choose your phone number from a list; this allows you to select a number that corresponds to your country, for example. It may happen that phone numbers are out of stock; please send us an email, and we will keep you informed of the approximate delivery date for new numbers.

Room:

Select the room you have created here.

Voice:

Short Description:

Please provide a description of your company here; this description will be visible on your company page.

Information:

In this section of your assistant's configuration, you need to provide all the necessary information for the bot to understand your company. Include your opening hours, different rates, and any other information that a customer might inquire about.

Brief:

The brief is complementary to the "Information" section and guides the assistant on how to respond and which tasks to focus on. Specify, for example, if the assistant's goal is to take an order, schedule an appointment, or perform other tasks.

CSV:

Upload your CSV file containing the phone numbers to contact here. Our phone assistant will call each of the numbers; note that you can add specific information for each called customer, for example, if you want a specific response based on the age or location of your customers.
